Sound familiar?

Coordinate engagements, recurring period work and client requests.

Records arrive late, every time

Lodgement week becomes a chase for bank statements and receipts.

How it works for accounting & bookkeeping

A typical week with the Accounting & bookkeeping setup. Every name below is exactly what you’ll see in the app.

  1. Enquiries arrive with the right details

Records are named the way you talk: client contacts, clients and engagements. Each new engagement has room for service type, period end, review owner and client input status. There are also fields for engagement frequency and external system reference on clients.
  2. Engagements move through your pipeline

    1. Enquiry
    2. Scope review
    3. Engagement terms
    4. Client information requested
    5. Active engagement
Drag each engagement to the next stage on the board, with its value, owner and next step in view. New ones can start from ready-made templates: “Period work” and “Client information request”.
  3. Quote it and win it

Build quotes from your price list with GST worked out, send them for acceptance and keep the accepted version on the engagement.
  4. Client contacts ask for help

    • Client queryA client has a question about their books, lodgements or fees.Normal
    • Records requestInformation or documents needed from, or sent to, a client.Normal
    • Deadline follow-upChasing outstanding information before a due date.High priority
Each request gets an owner, a response target and a full history. Client contacts can raise them by email or from their own portal.
  5. Reply in a click

Ready-made replies come with it: “Query received” and “Records received”. Each one fills in the person’s first name and can be edited before it’s sent.
    Query receivedHi Sam,

Thanks for getting in touch. We've received your query and your accountant or bookkeeper will be in touch.
  6. Follow-ups happen on their own

    • Follow up with a new client contact. Create a next-day task linked to the new client contact.
    • Qualify every new client contact enquiry. Create an immediate high-priority task linked to the new client contact enquiry and notify the team.
    • Review an accounting quote before sending. After a quote is created, assign a same-day engagement scope review linked to the client or engagement.
    • Set up client period work. When a project is created, assign a next-day work setup checklist linked to the project and client.

NovaSoft One for accounting & bookkeeping, in 22 seconds

The clutter, the setup in your words and one tool that suits accounting & bookkeeping, in a short animated film.

What happens in the film

Sticky notes pile up: “BAS due?”, “Need bank stmts”, “Who has the file?”. NovaSoft One renames its records to Clients, Client contacts and Engagements and sets up the stages Enquiry, Scope review and Engagement terms, and the Patel & Co year-end engagement moves along the board. Then it introduces the customer portal: clients see progress in their own portal. The customer portal is on Starter and above.

Animated with fictional businesses. Music, with captions in the picture.

A worked example

From first contact to finished work

A business enquires about bookkeeping. It moves from Enquiry to Scope review, then Engagement terms. At Client information requested, the period end and client input status show what’s still outstanding, and Client requests track each item asked for. When the client sends their records, it arrives as a Records request with a “Records received” reply. When the period’s work starts as a project, a setup checklist is assigned to the team automatically.

Questions about NovaSoft One for accounting & bookkeeping

Still unsure? Read every question or start free and look around.

Should I store tax file numbers in NovaSoft One?

No. Keep TFNs and source financial records in your approved, protected systems. NovaSoft One tracks who owns each request and its status.

Can it chase clients for records?

Yes. Deadline follow-ups and records requests are request types, so every outstanding item has an owner and a status the team can see.

Does it lodge returns or connect to the ATO?

No. It manages clients, engagements and requests. Use your practice and tax software for lodgement.

Can I change what the accounting & bookkeeping setup creates?

Yes. Stages, fields, record names, saved views and automations are a starting point. Rename, add or switch off anything in Customisation, and your records stay where they are.

Can I bring my existing customers across?

Yes. Import a spreadsheet of contacts, companies or leads in the Data Hub, map the columns, check the preview and commit. Possible duplicates are flagged before anything is created.

What does it cost?

Free for up to two people with the core CRM. Industry starting points come with Professional at A$39 per user per month, excluding GST, billed monthly with no lock-in.

Good to know

Not an accounting ledger, tax preparation tool or client-document vault. Industry starting points use NovaSoft One’s existing customer records, pipelines, tasks, saved views and custom records, and are included on Professional plans and above.
