Sound familiar?

Manage prospects, brands, proposals and active projects.

Feedback comes in on every channel

Comments arrive by email, chat and calls, and the latest version is never clear.

Scope creeps quietly

Small change requests add up with no record of who asked for what.

Campaigns and clients drift apart

Budgets, channels and launch dates sit in a separate spreadsheet.

How it works for creative & marketing agencies

A typical week with the Creative & marketing agencies setup. Every name below is exactly what you’ll see in the app.

  1. Enquiries arrive with the right details

Records are named the way you talk: clients, brands and projects. Each new project has room for project type, retainer project and campaign channel. There are also fields for preferred channel on clients and industry vertical on brands.
  2. Projects move through your pipeline

    1. Enquiry
    2. Qualified
    3. Proposal
    4. Onboarding
    5. Active
Drag each project to the next stage on the board, with its value, owner and next step in view. New ones can start from ready-made templates: “Website project” and “Campaign project”.
  3. Quote it and win it

Build quotes from your price list with GST worked out, send them for acceptance and keep the accepted version on the project.
  4. Clients ask for help

    • Change requestA client wants something changed in delivered or in-progress work.Normal
    • Feedback roundClient feedback on a draft or proof, gathered in one place.Normal
    • Website issueSomething on a site or campaign you manage is broken or wrong.High priority
Each request gets an owner, a response target and a full history. Clients can raise them by email or from their own portal.
  5. Reply in a click

Ready-made replies come with it: “Feedback received” and “Changes made”. Each one fills in the person’s first name and can be edited before it’s sent.
    Feedback receivedHi Sam,

Thanks for getting in touch. We've got your feedback and the team is reviewing it. We'll let you know when the next version is ready.
  6. Follow-ups happen on their own

    • Follow up with a new client. Create a next-day task linked to the new client.
    • Qualify every new enquiry. Create an immediate high-priority task linked to the new client enquiry and notify the team.

NovaSoft One for creative & marketing agencies, in 22 seconds

The clutter, the setup in your words and one tool that suits creative & marketing agencies, in a short animated film.

What happens in the film

Sticky notes pile up: “Logo v7 FINAL”, “Client feedback??”, “Brief - due Fri”. NovaSoft One renames its records to Clients, Brands and Projects and sets up the stages Enquiry, Qualified and Proposal, and the Brightside rebrand moves along the board. Then it introduces projects and milestones: every brief becomes a clear project. Projects are on Starter and above.

Animated with fictional businesses. Music, with captions in the picture.

A worked example

From first contact to finished work

A brand gets in touch and the brief is logged as an Enquiry with the project type and preferred channel. It moves through Qualified to Proposal, and a quote goes out. At Onboarding the campaign is recorded with its objective, channels, budget and launch date. When the client sends their notes, it arrives as a Feedback round; a later Change request is tracked separately so you can see what changed and why.

Questions about NovaSoft One for creative & marketing agencies

Still unsure? Read every question or start free and look around.

Can we separate change requests from feedback?

Yes. Change requests, feedback rounds and website issues are separate request types, each with its own priority and history.

Does it replace our project management tool?

It covers projects with milestones, owners and dates, linked to the client and quote. Teams that need detailed creative workflows can keep their existing tool alongside.

Can clients approve quotes online?

Yes. Quotes can be shared through the customer portal, where clients can accept or decline them.

Can I change what the creative & marketing agencies setup creates?

Yes. Stages, fields, record names, saved views and automations are a starting point. Rename, add or switch off anything in Customisation, and your records stay where they are.

Can I bring my existing customers across?

Yes. Import a spreadsheet of contacts, companies or leads in the Data Hub, map the columns, check the preview and commit. Possible duplicates are flagged before anything is created.

What does it cost?

Free for up to two people with the core CRM. Industry starting points come with Professional at A$39 per user per month, excluding GST, billed monthly with no lock-in.

Good to know

Campaign records help coordinate work; they do not publish or optimise campaigns. Industry starting points use NovaSoft One’s existing customer records, pipelines, tasks, saved views and custom records, and are included on Professional plans and above.
