How it works for construction & contractors

A typical week with the Construction & contractors setup. Every name below is exactly what you’ll see in the app.

  1. Enquiries arrive with the right details

Records are named the way you talk: client contacts, clients or sites and tenders or projects. Each new tender or project has room for project code, project type, tender close date and trade package. There are also fields for required-on-site date and supplier role on clients or sites.
  2. Tenders or projects move through your pipeline

    1. Tender identified
    2. Scope review
    3. Pricing and supplier review
    4. Submission prepared
    5. Outcome recorded
Drag each tender or project to the next stage on the board, with its value, owner and next step in view. New ones can start from ready-made templates: “Tender response” and “Project change review”.
  3. Quote it and win it

Build quotes from your price list with GST worked out, send them for acceptance and keep the accepted version on the tender or project.
  4. Client contacts ask for help

    • Defect reportA client or owner reports a defect in completed work.High priority
    • Site access requestRequests to arrange or change access to a site.Normal
    • Variation enquiryA client asks about changing scope. Approval stays with the contract.Normal
Each request gets an owner, a response target and a full history. Client contacts can raise them by email or from their own portal.
  5. Reply in a click

Ready-made replies come with it: “Request received” and “Defect rectified”. Each one fills in the person’s first name and can be edited before it’s sent.
    Request receivedHi Sam,

Thanks for getting in touch. We've logged your request and the project team will arrange the next step.
  6. Follow-ups happen on their own

    • Follow up with a new client contact. Create a next-day task linked to the new client contact.
    • Qualify every new client contact enquiry. Create an immediate high-priority task linked to the new client contact enquiry and notify the team.

NovaSoft One for construction & contractors, in 22 seconds

The clutter, the setup in your words and one tool that suits construction & contractors, in a short animated film.

What happens in the film

Sticky notes pile up: “Tender due 30th”, “Steel price?”, “Drawings rev C”. NovaSoft One renames its records to Client contacts, Clients or sites and Tenders or projects and sets up the stages Tender identified, Scope review and Pricing and supplier review, and the clinic fit-out tender moves along the board. Then it introduces secure documents: drawings stay with the right tender. Secure documents are on Starter and above.

Animated with fictional businesses. Music, with captions in the picture.

A worked example

From first contact to finished work

A tender is Tender identified with its project code and close date. It moves through Scope review and Pricing and supplier review, with trade packages and required-on-site dates, to Submission prepared and Outcome recorded. During the job, a client’s Variation enquiry and later a Defect report are tracked with owners. Project changes are recorded for review with a revision reference.
