Sound familiar?

Manage candidates, employers, vacancies and placement progress.

Good candidates slip through

A strong applicant from last month isn’t remembered when the right role opens.

Vacancies arrive half-specified

Salary range, location and type of work get clarified over several calls.

Timesheet questions eat the week

The same queries arrive every pay cycle, by every channel.

How it works for recruitment & staffing

A typical week with the Recruitment & staffing setup. Every name below is exactly what you’ll see in the app.

  1. Enquiries arrive with the right details

Records are named the way you talk: candidates, employers and placements. Each new placement has room for placement type and proposed start date. There are also fields for role interest, availability, salary expectation and work rights on candidates.
  2. Placements move through your pipeline

    1. Sourced
    2. Screened
    3. Submitted
    4. Interview
    5. Offer
    6. Placed
Drag each placement to the next stage on the board, with its value, owner and next step in view. New ones can start from ready-made templates: “Permanent placement” and “Contract placement”.
  3. Quote it and win it

Build quotes from your price list with GST worked out, send them for acceptance and keep the accepted version on the placement.
  4. Candidates ask for help

    • Candidate queryA candidate asks about an application, interview or placement.Normal
    • Client vacancy requestA client asks you to fill or change a role.Normal
    • Timesheet queryQuestions about hours, pay runs or invoices for placed workers.Normal
Each request gets an owner, a response target and a full history. Candidates can raise them by email or from their own portal.
  5. Reply in a click

Ready-made replies come with it: “Application received” and “Query resolved”. Each one fills in the person’s first name and can be edited before it’s sent.
    Application receivedHi Sam,

Thanks for getting in touch. We've received your message and a consultant will be in touch.
  6. Follow-ups happen on their own

    • Follow up with a new candidate. Create a next-day task linked to the new candidate.
    • Qualify every new candidate. Create an immediate high-priority task linked to the new candidate enquiry and notify the team.

NovaSoft One for recruitment & staffing, in 22 seconds

The clutter, the setup in your words and one tool that suits recruitment & staffing, in a short animated film.

What happens in the film

Sticky notes pile up: “Call back J. Wu”, “CV - which role?”, “Ref check!!”. NovaSoft One renames its records to Candidates, Employers and Placements and sets up the stages Screened, Submitted and Interview, and the head chef placement moves along the board. Then it introduces web forms: applications land as candidate records. Web forms are on Starter and above.

Animated with fictional businesses. Music, with captions in the picture.

A worked example

From first contact to finished work

A candidate is Sourced with their role interest, availability, salary expectation and work rights. After a call they’re Screened, then Submitted to an employer’s vacancy, recorded as a Job requisition with location, employment type and salary range. The placement moves through Interview and Offer to Placed with a proposed start date. When the candidate asks about pay later, it’s a Timesheet query with an owner.

Questions about NovaSoft One for recruitment & staffing

Still unsure? Read every question or start free and look around.

Is this an applicant tracking system?

No. It manages candidate and employer relationships and placements as a pipeline. It doesn’t run job boards, background checks or award interpretation.

Can I record work rights and availability?

Yes. Candidates get fields for role interest, availability, salary expectation and work rights.

Can employers send new vacancies through a portal?

Yes, on Starter and above, as a Client vacancy request.

Can I change what the recruitment & staffing setup creates?

Yes. Stages, fields, record names, saved views and automations are a starting point. Rename, add or switch off anything in Customisation, and your records stay where they are.

Can I bring my existing customers across?

Yes. Import a spreadsheet of contacts, companies or leads in the Data Hub, map the columns, check the preview and commit. Possible duplicates are flagged before anything is created.

What does it cost?

Free for up to two people with the core CRM. Industry starting points come with Professional at A$39 per user per month, excluding GST, billed monthly with no lock-in.

Good to know

Not an applicant tracking system, background-check service or automated candidate decision tool. Industry starting points use NovaSoft One’s existing customer records, pipelines, tasks, saved views and custom records, and are included on Professional plans and above.
