Reporting and data

Shared dashboards and reports

Give colleagues a named view with a deliberate internal audience.

How it works

Start a team review from the same view

A shared view saves a supported Dashboard or Report configuration under a useful name and gives it a deliberate internal audience. A Dashboard definition can retain its widget selection, period and personal or team scope. A Report definition can retain a supported overview or forecast configuration. Colleagues can open that view as a common starting point for a discussion without recreating the settings from memory. The shared configuration does not copy unrestricted customer data into a public page: each viewer still works within their current permissions.

01

What it covers

Share supported Dashboard or Report definitions with the workspace or selected members, while each viewer’s current permissions remain authoritative.

02

In practice

You can select a workspace audience or particular active colleagues. Shared views retain an owner and history and can be revoked. Sharing an internal working definition is separate from publishing an immutable Board View pack to invited external viewers.

When to use it

Useful situations

  • Give the team a named Dashboard view for its weekly meeting.
  • Share a supported reporting period with selected internal colleagues.
  • Keep a clear owner for a shared definition and withdraw it when it is no longer useful.

A working path

How the work moves

  1. Prepare the working view

Choose supported widgets, scope and period on Dashboard, or the supported analysis settings in Reports. Check that the configuration is useful for the intended conversation before giving it a name that teammates can recognise.

  2. Choose its audience

Open the sharing controls and select the workspace or specific colleagues. Review the audience deliberately. The definition helps people start from the same settings, while the data they can read remains governed by their individual access.

  3. Open and maintain it

Use the shared-view link for future reviews and inspect its history when ownership or purpose needs checking. An eligible owner or administrator can revoke a view that should no longer be used; record permissions continue to apply afterward.

Illustrative scenario

A weekly sales review

A report editor prepares an overview for the agreed reporting horizon and shares it with the sales review group. Everyone opens the same named definition while their existing customer and sales permissions still shape the visible information.

Before you start

What to check

  • A shared definition is a working view, not a frozen snapshot of the figures at the moment it was created.
  • External board members use Board View’s separate publication and identity workflow rather than internal dashboard-sharing links.

Questions about Shared dashboards and reports

Useful details before you start.

All questions
Does sharing override record permissions?

No. An audience selection does not grant access to a hidden module or customer record.

Are Dashboard and Report sharing on the same plan?

Dashboard sharing is available with the core workspace; shared Reports require the Professional Advanced Reporting capability.
