Suppliers fall through the cracks

The florist wasn’t confirmed and nobody noticed.

Last-minute changes get lost

How it works for hospitality & events

A typical week with the Hospitality & events setup. Every name below is exactly what you’ll see in the app.

  1. Enquiries arrive with the right details

Records are named the way you talk: hosts and planners, venues and suppliers and event enquiries. Each new event enquiry has room for event type, event date, estimated attendee band and booking status. There are also fields for venue capacity and supplier category on venues and suppliers.
  2. Event enquiries move through your pipeline

    1. Enquiry received
    2. Requirements captured
    3. Proposal sent
    4. Availability review
    5. Confirmed by team
Drag each event enquiry to the next stage on the board, with its value, owner and next step in view. New ones can start from ready-made templates: “Event proposal” and “Event delivery checklist”.
  3. Quote it and win it

Build quotes from your price list with GST worked out, send them for acceptance and keep the accepted version on the event enquiry.
  4. Hosts and planners ask for help

    • Booking changeA guest or client wants to change dates, numbers or details.Normal
    • Event enquiryQuestions about hosting a function or event.Normal
    • Guest feedbackCompliments, complaints and suggestions after a visit.Low
Each request gets an owner, a response target and a full history. Hosts and planners can raise them by email or from their own portal.
  5. Reply in a click

Ready-made replies come with it: “Booking request received” and “Booking updated”. Each one fills in the person’s first name and can be edited before it’s sent.
    Booking request receivedHi Sam,

Thanks for getting in touch. We've received your request and our team will confirm the details with you.
  6. Follow-ups happen on their own

    • Follow up with a new host or planner. Create a next-day task linked to the new host or planner.
    • Qualify every new host or planner enquiry. Create an immediate high-priority task linked to the new host or planner enquiry and notify the team.

NovaSoft One for hospitality & events, in 22 seconds

The clutter, the setup in your words and one tool that suits hospitality & events, in a short animated film.

What happens in the film

Sticky notes pile up: “Lee wedding - menu?”, “Hold the 14th??”, “Florist callback”. NovaSoft One renames its records to Hosts and planners, Venues and suppliers and Event enquiries and sets up the stages Enquiry received, Requirements captured and Proposal sent, and the 120-guest Lee wedding moves along the board. Then it introduces resource scheduling: rooms, staff and gear on one schedule. Resource scheduling is on Starter and above.

Animated with fictional businesses. Music, with captions in the picture.

A worked example

From first contact to finished work

An enquiry is Enquiry received with the event type, date and attendee band. Once Requirements captured, a proposal goes out as Proposal sent, then Availability review and Confirmed by team. Supplier tasks track each supplier against the event date. When the host changes guest numbers, it’s a Booking change with an owner and a “Booking updated” reply.

What the starting point sets up

Questions about NovaSoft One for hospitality & events

Still unsure? Read every question or start free and look around.

Does it manage venue capacity or run-sheets?

No. It handles enquiries, proposals, supplier follow-up and requests. Use your venue system for capacity and run-sheets.

Can guests book times online?

Yes, on Starter and above, with online bookings that show available slots and handle reschedules.

Can we collect feedback after the event?

Yes. Guest feedback is its own request type, and the portal can ask customers to rate completed requests.

Can I change what the hospitality & events setup creates?

Yes. Stages, fields, record names, saved views and automations are a starting point. Rename, add or switch off anything in Customisation, and your records stay where they are.

Can I bring my existing customers across?

Yes. Import a spreadsheet of contacts, companies or leads in the Data Hub, map the columns, check the preview and commit. Possible duplicates are flagged before anything is created.

What does it cost?

Free for up to two people with the core CRM. Industry starting points come with Professional at A$39 per user per month, excluding GST, billed monthly with no lock-in.
