Forms and bookings

Resource scheduling

Coordinate shared people, rooms, vehicles, equipment, locations and classes.

How it works

Reserve shared resources with capacity in view

Schedule people, rooms, vehicles, equipment, locations and classes against their existing reservations. Capacity and availability controls help coordinators avoid overbooking shared resources.

01

What it covers

Respect capacity and existing reservations when scheduling work, with a governed availability view.

02

In practice

Check a governed availability view before confirming a reservation.

When to use it

Useful situations

  • Check capacity before assigning a shared room or piece of equipment.
  • Coordinate staff, vehicles or locations against existing reservations.
  • Review planned use of classes or other capacity-limited resources.

A working path

How the work moves

  1. Set up the resource

Create or review the resource record with the appropriate type, location and capacity details. Make the owner and availability rules clear to coordinators who will schedule it.

  2. Check the availability view

Choose the period and resource, then inspect existing reservations and capacity before making a new booking. Resolve conflicts with the current reservation owner instead of assuming a blank view means the resource is free.

  3. Record the reservation

Create the reservation with accurate times, resource and purpose, then revisit the schedule when plans change. Update or cancel through the supported workflow so capacity is released for other work.

Illustrative scenario

Shared training room

An operations coordinator checks the room’s schedule and capacity before reserving it for a customer workshop, then records the event window so other teams can plan around it.

Before you start

What to check

  • Availability depends on accurate resource setup, capacity and reservation records; reconcile out-of-band bookings before relying on the view.
  • Scheduling access is governed by workspace permissions and the resource workflow; it is not a general-purpose facility-control system.
