How it works

Bring a physical asset back to its record

Asset scanning connects a label or serial number to the corresponding asset record in the current workspace. Camera scanning provides a visible target and progress feedback, while manual entry remains available when a device or browser cannot use the camera. Lookup uses an exact normalised asset tag or serial rather than guessing from a partial name. The scanner also handles repeated detections and supports a bounded review queue. That gives a person checking equipment a practical way to identify the record before deciding what needs updating.

In practice

Ambiguous or unknown results remain visible instead of selecting an arbitrary asset. Interrupted scans can be retained for the exact workspace and user, but queued lookup is not an automatic asset mutation and still needs an operator’s review.

How the work moves

  1. Open the scanning controls

    Start from Assets and choose camera scanning or the manual entry path. Use an appropriate tag or serial label and check the current workspace before continuing, especially if the same person supports more than one business.

  2. Confirm the lookup result

    Review the exact match, ambiguity or no-match state returned by the scanner. Check the asset identity before opening its details. Repeated detections during an active lookup are suppressed so one held label does not produce a stream of duplicate work.

  3. Review before changing data

    Open the matched record or use the supported reviewed creation path for an unknown item. Inspect any retained scan queue after an interruption. Apply custody or record changes through the normal asset controls rather than treating a scan as an automatic update.

An operator scans laptop asset tags, reviews matched records and notices one unresolved label. They use manual entry to check it, then inspect the unknown-item result before deciding whether a new asset record is appropriate.
